Banner & WebFocus Reporting

Student and course information that is keyed into Banner must have a way of being reported back out, right? Absolutely! This page will explore both what reports can be pulled and where to find the information that's needed.

What reports are available?

  • Student information data are reported out in MS Access Banner Reports. Check with your supervisor for a Banner password and access.
  • Course-related data and overall unit-specific data is found in WebFocus. Check with your supervisor and ITS to gain an account to access WebFocus.

Banner Reports

The specific location for Banner Reports and the reports offered may vary from unit-to-unit. Check with your staff mentor for exact details. Examples below, for Banner Reports, are based solely on School of Education reports.

Where do I find these reports?

Banner Reports are stored on the Records shared drive in their own folder. See Figure 1 below.

Who maintains these reports?

While Program Assistants key in the information that can be accessed through Banner Reporting, the reports themselves are maintained by ITS. If you have questions on the data, please contact Ron at 3-5223.

What information is available?

The following student information reports are currently available as Banner Reports:

  • Admission Stats for graduate programs (including Rackham)
  • Official counts for graduate enrollment data (overall)
  • Official enrollment by student attribute (ex: by students pursuing an endorsement)
  • Students whose accounts have gone inactive
  • Dean's List achieving students (undergraduate)
  • Degree list applicants

Separately, in BRS reporting, Program Assistants can pull reports related to students' academic standing. Check with your supervisor or staff mentor for how to pull these reports.

What do I do with the data?

Banner Reports are produced in a semester-by-semester style only. If you need to pull for an academic year, you'll need to pull the Fall, Winter, and Summer reports separately then combine the data in a separate spreadsheet or document.

You'll quickly find that Access Reports display in an non-editable format. While it is possible to export to Excel, the formatting of the initial reports is prohibitive of taking this route. It's suggested that you do create a separate document or spreadsheet in which to transfer data manually for best results. An example of a compiled report would be the School of Education's A2E2 (Applied versus Admitted, Eligible versus Enrolled) Report, as shown below:

The A2E2 Report combines the following reports, manually, into one report for easier understanding:
  • Admission_Stats
  • Attribute Report
  • Enrolled_Grad_Off

Who maintains WebFocus?

WebFocus is maintained by ITS. For questions on how to further navigate or how to access reports, contact Linda at 3-5221.

What information is available?

Clicking on Reg Reports, you'll find the majority of the available reports. WebFocus is still under development, so report creation is a work-in-progress.

What do I do with the data?

The good thing about WebFocus is that reports display in Excel! Compared with Banner Reports, it's far more navigable in terms of formatting the data to your needs. However, since a report like "1019 Course History" displays data over a span of semesters of years, it will likely be necessary to prune down to exactly what you need for your report rather than present the entire report itself.
