How to Process an Offline/Paper Applications in Banner


Paper Applications

The "look" of paper applications will vary from unit-to-unit, and from program-to-program. Rackham program applications have a very specific look compared with Dearborn graduate programs, and while the "look" may be different, the basic content that a student should have filled out will be the same. The following screenshots will guide you through the process of keying in an application based on what is on the printed application.

Remember that paper-based applications are accompanied by a check or money order for the application fee. Only with an online application can an applicant pay by credit or debit card.

Using CTRL+Page Down throughout the forms will navigate you from an upper block to a lower block. Remember to hit the Save button as you navigate from one form to the next.

Step 1: In Banner, type in GREA in the Go To box at the top. Press the Enter key.

Step 2: If the applicant has noted an 8-digit UMID number on the application, enter that at the top left of your first SPAIDEN screen where it asks for an ID. Hit Enter. Skip ahead to Step 4.

If an UMID has not been provided, use the Social Security Number (SSN) and go to Step 3.

Step 3: If the applicant has not previous applied or attended UM-Dearborn, the system will have you create an account. The Matching Source at the top-center will "general person entry."

  1. Leave Nation blank.
  2. As you key in the applicant's phone number, put the area code in the first box. The seven-digit phone number all runs together in the second box. (The third box would be for a phone extension, if needed.)
  3. Click on "Duplicate check" to verify that matching information is not already in the system for the applicant. If there are no matches, select Yes to create a new account.

Step 4: Continuing through SPAIDEN forms, you'll be adding any additional addresses, phone numbers, emails, and adding ethnicity. For someone who's previously attended UM-Dearborn, just check the details and update based on the application if needed.

Verify address is correct:

Verify phone number.

  • PR is the permanent number.
  • CE is for a cell phone.
  • BU is business under Telephone Type.

Verify citizenship and the race/ethnicity from the application:

Enter/verify the applicant's email. A personal address is listed as "HOME" for email type.

Step 4: After finishing with adding/changing the email address, click on the black X in the tool bar to move onto test scores in SOATEST. Some programs require different entrance tests with admission. Check with your mentor or supervisor for what is appropriate as you key in programs. Figure 8 shows a student's account with no test scores besides the Campus Composition Placement Exam.

Click Save, then the X in the tool bar to move to the next window.

Step 5: In SAAADMS, we now move to keying the applicant in for the appropriate graduate program. What do you key in?

  • Term of entry. (EX: Fall 2012 = 201310. Winter 2013 = 201320. Summer 2013 = 201330.)
  • Graduate students are keyed in as a "10" while Rackham graduate students are keyed in as "11."
  • Student type = G.
  • Residency = While a student will almost certainly list them as a Michigan resident if they happen to live in Michigan, that does not mean that they meet residency qualifications as the campus defines it. If the student has a transcript or work experience from out-of-state, key residency as out-of-state (B) and inform them, by email, to work with the Residency Office at UM-Ann Arbor.
  • Site: 001 for Dearborn Campus.

Click Save, then click on the Curricula tab.

Step 6: On the Curricula tab, enter in the specific program the applicant is applying for. The student in this example has applied to the MA in Educational Technology, which is abbreviated as MA-ETEC in the system. Press enter and the other information populates automatically.

Click Save, then click on the Field of Study tab.

Step 7: On the Field of Study tab, ensure that the appropriate codes are keyed in for the department. This can affect a student's tuition rate! Check with your mentor or supervisor for the correct details.

Click Save and move on to the Checklist tab.

Step 8: In the online application, graduate applicants can view what remains outstanding if the Checklist is maintained by the staff member. It's not visible to the applicant on a paper-based app, but it is good practice to maintain this to keep good track of what the student has submitted when.

Click Save and move on to Contacts, Cohorts, and Attributes.

​Step 9:​ Figure 13 shows examples of what may need to be entered under Contacts, Cohorts, and Attributes. Each application should have an "AA" code that they've applied for admission. If an applicant is applying for Fall term admission, then do type in the master degree candidate under Cohort. (EX: A Fall 2013 admit would say "13Master." Attribute requirements vary by program and the type of student. Check with your mentor for what is needed.

Click Save, then the X to move on to SAADCRV.

Step 10:In SAADCRV, you now can finish the application processing. Here, you enter in the status of the application. A few quick, frequently used codes include:

  • 45 = Checklist Incomplete
  • 34 = Pending Application
  • 86 = Student Deferred Admission
  • 16 = Admitted
  • 17 = Conditional Admission
  • 22 = Applicant Acceptance

If an application packet is missing items (EX: letters of recommendation), key them in as a "45." Once all materials are in, you can go back to SAADCRV to type in a "34" while the file is reviewed for admission.

Figure 14's example shows the student has been admitted but has not yet accepted the offer of admission.
